FAQ (event organizers)

FREQUENTLY ASKED QUESTIONS FOR EVENT ORGANIZER

Club Soda is not an event or show producer, but a venue rental company. There is no point in contacting the programming staff to ask for financial participation in any project, to buy a show or produce an artist.

Club Soda has a standing capacity of 950 and a seating capacity of 450. There are a number of alternative options, from retracting the balcony to setting up a few high-top tables for cocktails. Contact us to find out more!

Club Soda is a professional venue. We only open our doors when an event is taking place, so it is impossible to rent just part of the venue for a reduced price. We rent the entire venue, including all related services (bar, checkroom, ticket counter, housekeeping, lighting, sound, etc.).

Minors are admitted to the venue with a few exceptions. The information is clearly displayed (18+ or general admission) on our website and on the purchase page. We may ask for ID to purchase alcohol. Any minors found consuming alcohol will be immediately removed from the venue.

Yes, a portion of Club Soda is adapted for people with reduced mobility. Wheelchair spaces are limited. We recommend that people with reduced mobility arrive 15 minutes before doors open, so that they can enter the venue first. You can also contact us at info@clubsoda.ca to notify us of your situation. There is a washroom for people with reduced mobility next to the ticket counter.

Contact us! We will ask you some questions to determine your needs and check availability with you.

If you are an individual of legal age or a company, you will be able to sign the rental contract. If you are a group or a co-production, we will sign the rental contract with a single entity. Your tax numbers (GST and QST) will be used for ticketing purposes, but are not required to produce a show.

When you rent Club Soda, it will provide the following services if you need them: bar services, ticket counter, checkroom (in season), cleaning, electricity, ventilation, table set-up, etc. These services and amenities are included in the rental price, so there is no extra charge.

Ticket sales are conditional to the signing of the contract. Once the contract has been signed, you will receive a form to fill out for ticket scheduling. Pay particular attention to what you write, as any mistakes will be written as they are. This form must be returned at least 72 business hours before the desired on-sale date.

Before your event goes officially on sale, you will be asked to approve the sample tickets by email, to ensure that there are no errors (text or pricing). Once you have approved the ticket samples, the sale can begin. In the same email, you will find the links that the public will use to purchase their tickets on the web: these are the only links authorized for online sales.

You will not be able to access your event schedule to track sales in real time. However, you can request that sales reports be sent to you. These reports can be scheduled at any time of the day or night, 7 days a week. Simply enter your preferences in the appropriate field on the ticketing form.

Consignment tickets are intended for hand-to-hand or in-store sales. It is not permitted to sell tickets via a transactional site other than ours. The service fees are $1.50 for the first 100 consignment tickets, $2.50 for the second 100, and $3.50 for the remainder. These service fees are payable upon receipt of the tickets in cash or by debit. We will refund unsold tickets only if they are returned to the Club Soda ticket counter no later than the evening of your event.

If you want consignment tickets only, we have a tailored solution for you! Contact us for additional details.

We offer a complete ticketing service with the lepointdevente.com
platform, an attendant at Club Soda during business hours, a reliable transactional website, ticket printing, and more. We provide you with all the services required for a regular ticketing service. If the particular nature of your event calls for you to sell tickets on a transactional website other than ours, please discuss it with our team to confirm whether or not this is possible.

There is a printing fee for each ticket printed. They will be charged to your final payment based on the total number of tickets printed. Be sure to check for any errors BEFORE approving the print.

Service fees are charged to the customer who purchases the ticket. They are charged in addition to the ticket price. These fees vary between $2.25 and $9.64, depending on the method of purchase and the ticket price. It is not our policy to offer a standard ticket price. The customer must have the choice of which method to use.

Credit card fees are calculated on gross sales made by Visa, MasterCard or American Express and represent 4% of this amount.

Club Soda does not have its own parking lot for production vehicles. You can access paid parking at Complexe Desjardins (bordered by Saint-Urbain, Jeanne Mance, Sainte-Catherine, and René-Lévesque streets) or at UQAM (access by Sanguinet Street, south of de Maisonneuve).

Pyrotechnics and flames are prohibited under all circumstances. Approval by technical management is required for all other special effects such as confetti, food, balloons, and any non-standard items. These requests may be denied or a cleaning fee may be added to the final payment for your event.

We are accustomed to receiving the most extravagant decors ... as long as they comply with our standards! All set elements (stage sets, banners) must be fireproofed.

All these elements must be discussed with technical management at least one week BEFORE the event.

Your arrival time must be confirmed with technical management, who will be on site on the day of the event. For safety reasons, we do not leave anyone unattended in the venue. The venue is available for set-up starting at 8 a.m. and the event must end no later than 3 a.m. that night.

We do not impose a caterer; you can choose whomever you like. We do not charge a fee. We can accommodate the team with access to a room equipped with a sink and a refrigerator. Caterers often set up their equipment in the common room of the viewing boxes.

The security guards from DANS LA FOULE are accredited by the Bureau de la Sécurité privée and know the venue inside and out. They will ensure the smooth running of the event, the safety of the public, and a seamless entry into the venue.

Regardless of the situation, the presence of our technicians is essential. They are very familiar with the venue and will help you to successfully pull off both the simplest and the most singular productions. If you already have a sound engineer or a lighting technician, our team is ready to welcome them.

The Technical Director (TD) is your point person for all aspects of the show, set-up, execution, and dismantling. The TD MUST be on-site when you are. You will need to provide the bands' technical sheets in advance. The chief electrician will supervise all electrical connections and operate the lighting console as needed. The DT will discuss with the chief electrician, but you can contact him/her to discuss details of the venue's lighting and ambience.

Club Soda has an amphitheatre-type liquor license. We have everything you need: refrigerators, bars, petty cash registers and other equipment. This ensures a professional, high-quality bar service. However, the alcohol purchased by Club Soda is the only one that can be consumed at the event, so you cannot set up your own parallel system.

It is our practice to honour alcohol sponsorships except when a request is outside the norm. However, this must be discussed with the venue management at least one month before the date of your event. It is important to note that the sponsorship must not come from a grocery or convenience store.

The coat check is mandatory in season, that is, from October to May, depending on the weather. The cost of the coat check is $3.00 per coat and can be paid by the customer or by you.

To post your event on our website, you must send us the following information:

  • A description of your event in French
  • A description of your event in English
  • A relevant high-resolution image in 1152x648 pixel format.

We require all Club Soda tenants to carry valid liability insurance covering up to one million dollars. Tenants are responsible for any physical or material damage that may occur during their rental. You have two choices: (a) you already have your own insurance and send us a copy of your insurance certificate, or (b) you take out the insurance offered by Club Soda.

An amount equal to the rent plus taxes must be paid when you sign the contract. The deposit must be made by eTransfer. Our bank details will be sent to you with the rental contract.

If ticket sales do not cover the estimated total costs, a second deposit covering the balance will be requested five business days before the event.

A final invoice will be sent to you after the event. This is when you will learn whether you owe us money or whether you will receive a payment from us.
